Hotkeys for Vision 3

Automated Task Scripting

If you have any repetitive tasks within Vision that you would like automated, whether it be for a one off project or continual usage, we would be pleased to write it for you.

These little scripts can be written to perform in many different ways, i.e. your task could run when a specific window opens, or you may have it assigned to a hotkey on your keyboard or even a floating toolbar button.

There are also many task driven scripts on our website using Microsoft Excel i.e. to open specific external files and automatically write out complicated formulas.

The possibilities are virtually endless and there are also many freely available scripts on our website and listed below for you to download and use within Vision or any Microsoft Office application.

However, if you aren't able to find what you need on our website, and would like us to write a specific script for your Vision practice, please email us detailing what action you would like carried out within Vision or within a Microsoft Office application.

Listed below are a variety of free task driven scripts written to provide additional support for Vision users.

Preferred Pharmacy Hotkey

This hotkey will quickly show the preferred pharmacy setup in Vision for the patient within Consultation Manager (if at all), rather than having to keep referring to the preferences tab on the patient details screen.

It reads the information from the Patient Details tab, therefore this screen must exist in the patient record view.

Once you have double-clicked the executable a pill icon will be displayed by the system clock, which has some right mouse click features to enable you to add a shortcut icon to your desktop or add to the startup folder.

The hotkey is Ctrl+Home on the keyboard to see examples as shown below.

Open DXS from your keyboard using "Win+F11"

This hotkey can be added to your Startup folder or Desktop and when run will just sit in the notification area waiting for you to press Win+F11 on your keyboard ("Win" refers to the Microsoft Windows flag on your keyboard).

It will always maximise DXS and go straight to the Home page; which details all the sections with regards to the highlighted code in Vision. Alternatively, if no Read  code is highlighted it will open on the "What's New "section in DXS.

To add to Startup folder or Desktop just right mouse click on the DXS icon in the notification area (by the clock or bottom right section of the screen)

Mobile Number Tidy Tool for NHS Bulk SMS Messaging

This program has been designed to copy mobiles numbers exported from Vision into a Microsoft Excel spreadsheet and prepare it to be pasted into the NHS.net SMS message recipient textbox to enable bulk messaging.

Within Excel it will ignore any #N/A statements, the column header which must only be called "Mobile" and add a semi-colon separator between each mobile number.

Automatically create a patient group in Vision

This little script was first designed by Kevin Mullan (INPS Trainer) but has now been completely re-written by us to enable a patient workgroup to be created from either PAT_ID/NHS No/CHI No

When using data within Microsoft Excel, this new all in one version will automatically:

  • Remove spaces from NHS numbers as this is required for Vision
  • Pack out the CHI number to a 10 digit format, by adding any missing leading zeros which Excel removes

Automatically Mark Action Complete V3.02

This program will automatically mark each pre-existing action as complete within Mail Manager.

Background: Once an action has been created it can only be completed manually one at a time in Mail Manager. This is fine for actions that need user interaction, but no so good if the practice have never completed those actions that didn't need anything doing to them, i.e. "No Action Required".

This will be resolved by this program hotkey, just open Mail Manager and select the folder to display all the Action copies that need to be automatically completed. PLEASE make sure you select the correct folder as the program will complete any displayed action copy. Then double click the executable and you will see it starting to automatically complete each message.

Ideally the Mail Manager filter should be set to show All Dates. However, if the practice have never completed action copy messages this list may be to large and take a considerable time to display, therefore set the date filter to 1 week to start with, and slowly increase the time period as you go along, until all the action copy messages have been removed and you can set the Filter to show All Dates..

Version 3.2 (10/02/2010)

Reintroduced the refresh delay period, so that each site can adjust the amount of time it takes between messages being displayed.

Version 3.1 (06/02/2010)

Add a small update to this version to deal with the message that appears if the patient was transferred out. Previously this would stop the script from running, whereas now it will continue on. However, any other message prompts will cause the script to stop at that point.

Version 3.0 (29/01/2010)

This latest version doesn't use the Mail Manager refresh rate between completing each message, which means that it can complete each action copy 10 times faster than before, and only when there are no more messages will it refresh the screen.

Important Note: In DLM300 you will be able to set up each action to automatically complete if required. This will then negate the need for this program thereafter.

Please download these latest executable files and depending on the guideline version copy them into either:

  • O:\Download\Guidelines\VEC folder
  • O:\Download\Guidelines\UPC folder
  • O:\Download\Guidelines\WIC folder

Auto-Complete Mail Manager actions shown as "No Action Required"

This hotkey has been designed to automatically complete new "No Action Required" actions in Mail Manager.

Please Note: This only completes new actions, NOT past actions that have not been completed before the hotkey was set up.
It may also be toggled on or off either by using the right mouse click on the hotkey or use the right Ctrl key and F11 (RCtrl+F11).

How does it work?

It works when a clinician selects an Action for a message from the Action list; if the Add Action screen has the word "No Action" anywhere in the screen it will automatically change the Action Status to *Complete, with no intervention needed by the user. The user may change the status to anything else for that single message if they so wish, as it only makes a single change per new action.

However it will only work if two elements are set up:

  1. A Group description (or Action) must contain the exact words "No Action". (Control Panel > File Maintenance)
  2. An Action Status must have a * symbol added to the word Complete. (Control Panel > Mail Maintenance)

Tip: To make it quicker and easier, make sure you have assigned all Actions to a User or Group in Mail Maintenance

Update: 19 August 2009

Auto-Expand Consultation Manager patient record view

This hotkey has been designed to automatically expand the patient record view (F10) when opening each patient record to see the maximum screen area. It may also be toggled on/off using RCtrl+F10 or right mouse click on the hotkey icon.

However the view name must contain the word "Max" anywhere in the view description for it to work.

  1. Open Consultation Manager select the Consultation menu > Options > Setup and click on the Patient Record tab
  2. Highlight your current view and click the Rename button > add the word Max (which is case sensitive, i.e. capital M) anywhere into your description.

When the hotkey is active it will automatically show the patient record in full screen mode, for every patient selected. The user may change the screen back anytime by clicking F10 on the keyboard as normal, as it only makes a single change per active patient record. The script basically reverses the Vision F10 function.
