Online User Guide

This all new toolbar has quite a few new features and functions compared to previous versions.

  • Smart Flu Clinic now works with Problems if enabled.
  • It now has 3 tabs to choose from on the top of the toolbar
  • It now includes many lifestyle and examination terms
  • While the tab called Other has additional exceptions
  • The Smoker and Drinker buttons have a double-click feature, in that they will automatically record advice.
  • Site of vaccination now includes a full list, as apposed to just the left or right arm.
  • Special Risk Group patients may now be recorded in the immunisation
  • Special Risk now has a list of 15 default reasons to pick from and update.
  • The latest drugs and vaccinations are listed within the preferences sections.
  • There are 3 primary buttons that have shortcut function keys:
    • F1 to record Influenza information
    • F6 to record pneumococcal information
    • F12 to list the appointments screen
  • You may now store up to 6 different batch numbers and select them from a drop down list on the main screen
  • A free text option in preferences allows the user to add a note to each recorded influenza vaccine.
  • Your own dosage instructions may now be used when recording scripts

Immunisations Toolbar Button Tab

Recorded data for Influenza and Pneumococcal are all taken from the Setup Screen. Therefore you should open this screen before recording data.

 

If you use the close button ( X ) in the top right corner of the toolbar, you will be asked if you want to minimise or close the program.

Flu Vaccine

The Influenza section includes an Influenza button that will quickly add all the options set up in preferences.

You may also use the keyboard function key F1 (or Ctrl+Win+I).

If the Special Risk checkbox is selected it will show a prompt screen for recording the Nature of Risk and then enter the influenza data under the Special Risk Group category.

You may select a vaccination site, which will remember the last selected option from the list.

There is a No consent button that will record 68NE within the immunisation entity.

If batch number details don't fit within the window of the toolbar, hover your mouse over the active toolbar Batch No field and a tool tip screen will appear showing the full text.

Pneumo Vaccine

The Pneumococcal section includes a Pneumo button that will quickly add all the options set up in preferences.

You may also use the keyboard function key F6 (or Ctrl+Win+P)

Please Note:

If a patient record was previously recorded using Immunisation Type :Pneumococcal ( which is recorded in Vision as PNEUMOCOC ) and you now opt to record the Immunisation Type as : Pneumococcal polysaccharide vaccine ( which is recorded in Vision as PNEUMOPOLY ). Vision will not display a warning prompt that this type of vaccination has already been recorded.

Lifestyle ToolbarView Buttons

This section will show the;

  • Appointments screen (Ctrl+Win+M) or (F12)
  • List all current immunisations within the patient record (Ctrl+Win+O)
  • List any drug allergies currently within the patient record (Ctrl+Win+U)
  • List any non-drug allergies currently within the patient record (Ctrl+Win+G)
  • Show the patient record (Ctrl+Win+R) or (F10)
  • Open the Setup screen to change any settings for recording Vaccine data (Ctrl+F1)

Lifestyle Toolbar Button Tab

This new tab section has been added due to user requests.

This will allow users to quickly record the following on a single click...

  • Smoking Status with prompt to record advice (Ctrl+Win+S)
    • Double-clicking this button will automatically record advice
  • Ex-Smoker (Ctrl+Win+E)
  • Never Smoked (Ctrl+Win+N)
  • Height (Ctrl+Win+H)
  • Weight (Ctrl+Win+W)
  • Waist Circumference (Ctrl+Win+F)
  • Drinker with prompt to record advice (Ctrl+Win+D)
    • Double-clicking this button will automatically record advice
  • Ex-Drinker (Ctrl+Win+X)
  • Teetotaller (Ctrl+Win+T)
  • Pulse Rate  (Ctrl+Win+A)
  • Pulse Rhythm (Ctrl+Win+C)
  • Blood Pressure (Ctrl+Win+B)
  • Occupation (Ctrl+Win+J)
  • Exercise  (Ctrl+Win+K)

File Menu

Smart Flu Clinic Setup screen (Ctrl+F1) - This is the primary screen to set all your defaults for recording all data from the hotkey toolbar.

Reload/Reset Program - If for some reason the toolbar features fail to work, you may rest the program, to clear any errors. (Ctrl+Win+L)

This also includes a way to exit the program (Win+X) or (Ctrl+Esc)

These preferences may be changed at anytime and all settings are retained even when the program has been exited.

Influenza Tab Defaults

Enter batch number(s) up to 30 character in length as this is the limit within Vision.

Click Add more batch numbers to record up to 6 batches in advance, which then makes it easy to select from when using the immunisation toolbar.

Add a free text note that will be recorded with each influenza immunisation.

Opt to automatically record consent with every recorded immunisation.

Choose to record an Items of Service claim and add any additional free text to be included in the comments field of the claim.

There are 15 default special risk reasons and some are already included, but they maybe altered. They will then be presented in a drop down list for you to select from when you tick the special risk checkbox on the immunisation toolbar.

There is also an option to record the vaccination into the drug screen, allowing for the exact vaccine to be selected from the drop down list and whether you wish to record it as personally administered or remove the print script option.

Removing the print script option is recommended if you are not going to print the script as it will remain active for 24hr in a patient record, should they be prescribed any other medication in the meantime.

CM Setup Tab

You may setup Consultation Manager to record data from Smart Flu Clinic in the past, by changing the Consultation date in Vision.

This tab allows users to temporarily inactivate problem prompts, this may also include therapy management if the acute medication checkbox has been selected when linking the medication to a problem book.

Script Timings Tab

There is a Script Delay feature which enables users to control how fast the script runs. The higher the numbers the slower the script will run. This allows users to configure the script to suit each working environment. As each CPU / workstation may act differently.

Add Smart Flu Clinic to Vision Guideline

Follow these steps to add a shortcut button to your Local Guideline Index within Consultation Manager to open the Smart Flu Clinic.

  1. Open Consultation Manager

  2. Click the Local Guideline Index Button in the top toolbar

  3. Click the Maintain button on the Local Guideline Index toolbar

  4. A new floating toolbar will now appear, click the Application button on this toolbar

  5. Click the Browse button to locate Smart Flu Clinic which is normally in O:\Download\Smart Flu Clinic Folder

  6. Enter a description to be displayed on the button or icon

  7. Remove the "Display as icon" tick to show a button rather than an icon. 

  8. Click OK 

  9. Click the Maintain button on the Local Guideline Index toolbar to save changes 

Everybody now has access to Smart Flu Clinic from the Local Guideline Index

Keyboard Shortcut Keys

Many of the items in the Add menu and buttons on the toolbar have keyboard shortcut keys assigned to them, as show above, i.e. Win+E. Win is also shown as # and relates to the Windows key on your keyboard normally located between the Ctrl and Alt keys also shown as a Microsoft flag.

 

Therefore hold down the Win key and then tap on the last assigned character to invoke the command.
