Question: "What's the difference between Smart Flu Vaccines and Keyboard Express?"

Answer:
1. Keyboard Express requires you to have a certain amount of knowledge about how to set up and build macros.
Smart Flu Vaccines needs no building, it's all been written for you. All you have to do is enter a vaccine batch number and select the type of vaccine you are going to use.

2. Keyboard Express requires you to remember many different key combinations, to perform each task.
With Smart Flu Vaccines you have a choice between Hotkeys or Buttons, therefore less room for error.

3. Smart Flu Vaccines is written in a powerful scripting software program that can handle Vision prompts and perform different tasks accordingly, which makes it a lot more versatile.


Question: "Can I use Smart Flu Vaccines to enter back dated vaccines, I've already given?"

Answer: Yes, just setup Consultation Manager using either a fixed or flexible date
Click on the Consultation menu > Options > Setup > Consultation tab.

  • Fixed date: Change the "Consultation Defaults" Date
    This means that all entries for every patient will be recorded under the same date. (When you close Consultation Manager it will automatically default back to the correct system date)
  • Flexible date: Put a tick in "Display Consultation Form - When New Consultation is Opened"
    This will allow you to change the "Open New Consultation" date for each patient

Question: "Can I stop the Smart Flu Vaccines, without having to re-enter the batch number?"

Answer: Yes, right mouse click the green apple icon in the notification area, (next to the system time) and select "Suspend". This will retain all previous entries within Smart Flu Vaccines, and stop all hotkey and button functions.


Question: "Does "Smart Flu Vaccines" Work on a remote server solution?"

Answer: Yes. It is a self-contained program, that doesn't need to load any files or register entries. However you will need to run Smart Flu Vaccines on the remote server, this may require either an upload from your local computer or if you have internet access download it from the web site directly to your remote desktop.


Question: "Do I have to put it on every desktop for it to work?"

Answer: No. Store it on a shared drive, (like the Global drive) and when each user double clicks Smart Flu Vaccines, it will run under the local profile. This also means that Smart Flu Vaccines settings are not retained between each profile they are completely independent.


Question: "Can we just add the Immunisation and not have to include the drug name?"

Answer: Yes. There is a tick box "Add Vaccine name as below?", if the tick is removed it will only add the Immunisation otherwise it will also add the actual influenza drug name in the acute therapy screen.


Question: "Can we use Smart Flu Vaccines to record No consent for Flu and Flu allergies?"

Answer: Yes. You can record Flu and/or Pneumo  - No Consent/Declined or refused/Allergy/Contraindicated/Adverse Reaction/Egg Allergy and even Print Leaflets.


Question: "We still use IOS for flu claims, will this be a problem?"

Answer: No. Smart Flu Vaccines has a tick box for IOS. It will then include an IOS claim as Routine and type FLU in the comments box of the IOS claim.


Question: "Why does Smart Flu Vaccines still run even though no patient has been selected?"

Answer: Most programs use the title bar of any active window, to determine what is currently active. This is always changing within the Consultation Manager displaying the patients' details, so we can currently only determine that Consultation Manager is open, not that you haven't opened a patient record.


Question: "Can I minimise Smart Flu Vaccines?"

Answer: Yes, use the Close button, and when you want to re-activate "Smart Flu Vaccines" press Alt+1


Question: "Can I just use shortcut keys, instead of clicking the buttons?"

Answer: Yes, make sure that you have chosen the correct vaccine and entered the batch number, then press the Close button, this will minimise the window. Now you can just use the hotkeys. Press Alt+1 to re-open the window.


Question: "Does it work with the old Classic view?"

Answer: Yes it will work with any view.


Question: "Smart Flu Vaccines keeps stopping at a specific point, using either the buttons or hotkeys?"

Answer: This could be because you have assigned the same shortcut key to a tab within your current patient view. To test this, choose a standard view from the Consultation menu > Options > Setup > Patient Record tab, click on the Views drop down list and click on "Standard  system-distributed options", choose either Initial View 4 or 7 as an example.

Question: "Smart Flu Vaccines stops at the drug screen with a message 'Drug not found'?"

Answer: This probably means that you are using a drug formulary and you have not included the flu drug name you are now using in your drug formulary.

To resolve this;
1. Open any patients records in Consultation Manager
2. Press F4 (Actue Drug)
3. Press F8, then double click in the "Drug" text box (where you normally type a drug name)
4. Click the "Mode" button (on the right)
5. Select "Maintain Formulary" > Press OK
6. Type in the name of the flu drug you are using and click the Find button to display it
7. Double click on the flu drug name you are using, so that an "F" appears to the left of the drug name.
8. Click Close button

Question: "Smart Flu Vaccines sometimes doesn't complete?"

Answer: Smart Flu Vaccines uses a scripting language that runs a set of commands which cannot be interrupted, by a user or by your computer. Sometimes your computer will run system checks in the background (which is when you hear your computer hard drive making a noise, even though you are not doing anything on it) this will interrupt the script and may cause it to fail briefly.


Question: "Smart Flu Vaccines does strange things when I click the button on the toolbar?"

Answer: This is because you are double clicking the button, which interrupts the script from the start. Please make sure you only single left click each button and everything will work fine.


Question: "I get a message that Consultation Manager isn't open, when it is?"

Answer: This happens if you are trying to use Smart Flu Vaccines from your local desktop, when you are on a Remote Server solution. There are a few ways to determine this.

You are on a remote server solution if;
1. You had to double click a Remote Vision icon, like the one shown below.
                                    
2. You move your mouse pointer to top centre of the screen and/or can see a yellow bar (with a push pin)
3. You click the Start button, and you cannot see Run… or Search or Control Panel from your menu?
4. If you’re desktop background is grey?

If any of the above apply, the error message is because to are trying to run Smart Flu Vaccines from your local desktop and Vision is not on your local desktop.
a) You must either upload Smart Flu Vaccines to your remote server using the Scan & Attach or Upload procedures

b) When signed into your remote server, open the internet explorer and type in the address detailed in your introductory email which was sent when you purchased Smart Flu Vaccines, this will open you Surgery page where you can download Smart Flu Vaccines directly on to your remote server environment.


Question: "We use a Jayex board and it keeps coming up after every patient?"

Answer: Remove the tick from "Automatically display when ACD switched on".

To access this screen again, right mouse click on an existing appointment and select "View Appointment Details...", this will open up a box that has the ACD button, just click this button to reopen the ACD screen.
