Importing Vision data into Microsoft Excel requires two elements to of been performed per workstation; If you are on the INPS remote server (VES) the following is automatically installed and you may skip these steps:

This may be done manually as shown below or automatically if you download and run our little Vision Appointment Wizard, which imports all the data automatically and then formats it all as well. (Please review the Wizard Notes and Updates section) However if extracted manually, the following questions may be relevant:

Slot type numbers are practice specific and once you have determined what the number relates to, it should not change. To determine what each numbers reference; take note of the date and time of an appointment in Excel and cross reference this against the actual appointment in Vision. Note: Appointments are fixed in the database after 7 days and cannot be altered in Vision. However, users may still edit the overall slot type (instead of adding a new one) and if this is done the Vision appointment history will still reflect the original text, which may sometimes be a little misleading. |
As with the slot type above the same method applies; look into the Vision appointments book to determine what each number refers to. The same also applies to when users edit sessions instead of creating new ones. Additionally it's never really a good idea to delete slots or sessions from the appointments system as you will permanently loose these references in Vision if ever look back.
If you want to remove all references to tidy up your system, take a backup of the Vision appointments system by copying the following files held within the P: drive (Data folder): APPOINT0.MDB, SLOTAPP.CDX, SLOTAPP.DBF, SLOTAPP.FPT and save them to another folder location on either the O: or P: drive, this way you will always have a backup to refer to.
You may also ask the helpline to backup these files and replace them with a blank appointments database.
