Vision Appointment Wizards!
There are now 4 free Vision Appointment Wizards to choose from:
Importing any of the Vision appointments data into Microsoft Excel
requires two elements to of been performed before running either of
the Appointment Wizards on a workstation;
If you are on the INPS remote server (VES) the following is
automatically installed and you may jump straight to the
Vision Appointment Wizard Notes
section.
(VAW)
This is the original Vision appointment wizard that automatically
extracts all the appointments out of Vision into a Microsoft Excel
spreadsheet. You may select a specific time period to extract and once
in Excel the Wizard will format all the data and add a few formulas to
help you analyse your appointment data like never before.

(AADW)
This appointment wizard has an additional spreadsheet function for
Walk-in Centre sites, which imports patient demographic data. This includes ethnicity,
presenting complaints and
the patients GP/Surgery
details. This program will only function correctly if the site is using
the Vision Walk-in Centre type guidelines. Please
download the
instructions before running the program as it requires 2 searches to
of been run in Vision.

(CVAW) This wizard imports all the setup data and is specifically designed
to show all the cancelled appointments in Vision.

Future Appointment Wizard with Mobile Numbers
(FAW) This wizard will import future appointments with
mobile numbers. It is designed to be used with the
Mobile Number Tidy Tool for NHS Bulk SMS Messaging. You will need to
run a Vision search to export all the mobile numbers before running this
program as shown in the image below:

Your practice should also adopt a protocol for recording telephone
numbers to make it easier to export correct number formats and numbers
only relevant to the actual patient.

Always add the personal patient primary
number, regardless of it being a mobile or landline to type
"Telephone – Home" (as this shows up everywhere in Vision and on
mail merge letters)

Only add the personal patient mobile numbers to
type "Mobile"

Add all other contact numbers that do not
belong to the patient under any other type (except Home and Mobile)
i.e. Relative, Carer, Emergency Number, Etc…
For example if a patient only provides a mobile number the same number
should be added twice, once under type "Mobile" and also under type
"Telephone - Home"
This will then make your mobile number search extremely accurate.
In the beginning you may need to ask each patient when booking the
appointment, their mobile number and write it in the comments. This way
it will appear in the Excel Spreadsheet Appointment Wizard for you to
cross reference.

There are a few requirements that the wizard relies on within Microsoft Excel,
so that it functions correctly:

It will only currently work with Microsoft Excel
2003, we will be working on a 2007 version shortly.

For the Week Number column to work the function
(WEEKNUM) must be added, from Tools menu Add-Ins... then select the "Analysis ToolPak".

Under Tools menu > Options... Edit tab the "Move
selection after Enter - Down" must also be selected, which it
normally is by default.

When opening the setup screen, it now hides the
main screen

The path lines are now displayed in a single line
with no word wrap, for long path statements.

It now only copies over the appointments set up
database and extracts live appointment data, this speeds up the copy
process and if no new sessions, slot types or booking information
has been added there is no need to update the set up database.

Fixed the back button, so that it returns to the
previous screen.

appointments data from the copied away database and not the live
appointments database.

- Removed time out delay when importing appointment data into
Excel, due to some computer systems having a very low
performance. Therefore this may require user intervention before
clicking Yes to the format request.

I have included a new column that
calculates the Arrival time to End of consultation (Out Time)

Moved the progress warning bar up a little in
case any Excel messages are displayed.

Due to conversion issues between Microsoft
Access and FoxPro the TYPE cross reference number is wrong.
This has now been fixed by subtracting 3 from each number in the
type column. For example if a 5 is shown in the type column,
this is actually a 2 in the lookup table.
VAW v3.0.0 July 2009:

Added the Microsoft Access cross reference
data, so that it will now display the actual Session, Slot and
Method description, instead of just seeing a number.

As the Microsoft Access database needs
exclusive access, the main wizard screen now includes an "Update
Database Files" button, which will copy away the latest version
of the appointments database and use these to gather the data
into Microsoft Excel.

Once you have run the update you may then
click the Run Appointment Wizard button
